    We are seeking a qualified candidate for the position of Executive Assistant to the CEO. This position will be based in our Petaluma office.

    Responsibilities

     

    • Anticipate, prepare and organize agendas, files, and presentation materials for Executives’ presentations and meetings.
    • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications, managing expense reports
    • Assist in managing executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel. Arrange for food service and other accommodations.
    • Coordinate, schedule and confirm travel arrangements (flights, hotels, transportation), ensure travelers supported have the necessary travel documents and create travel itineraries as necessary.
    • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
    • Assist executive with preparation and handling of documents, including but not limited to printing and assembling, copying, scanning, and/or filing.
    • Be on reasonable call to CEO after hours
    • Manage basic office operations, water and plant services, order supplies

    Qualifications

    • High School Diploma + 5 years of work experience or BS/BA
    • Experience with administrative tasks
    • Experience assisting a high level executive
    • Proficient in MS Office Suite - Microsoft Word, Excel, Powerpoint and PDF Conversions 
    • Ability to take direction and independently manage daily tasks and short and long-term projects in a fast-paced environment
    • Highly organized and attention to detail, with ability to multi-task
    • Must have excellent communication skills
    • Highly motivated with positive attitude and professional
    • Ability to handle confidential materials and assure discreet handling of all business and personal matters.
