The Document Specialist Supervisor provides day-to-day leadership of the Document Specialist team including quality assurance, coaching, reporting, and serving as an escalation point to resolve more complex issues.  Provides document specialist support to ensure workflow requirements are met.

Responsibilities

  • Partner with Document Specialists to ensure documents are recorded timely and accurately.
  • Partner with Pipeline and Customer Service teams to update and/or create procedures.
  • Coach team on current procedures, files, and pending issues.
  • Confirm projects are completed with appropriate permits, inspections, and all required documentation. 
  • Serve as escalation point to resolve more complex documentation issues.
  • Develop and track metrics related to Document Specialist processes and performance.
  • Recommend and implement updates to processes and procedures to continually improve.
  • Schedule staff and assign work to ensure work deadlines are met.
  • Recruit, select, train, and provide leadership and performance feedback for direct reports.
  • Recommend wage adjustments, staffing and work assignments.
  • Conduct regular staff and coaching meetings with direct reports.
  • Establish goals and work plans consistent with organization needs and monitor progress.
  • Attend internal and external management meetings.
  • Delegate projects to Document Specialists and ensure high quality service delivered.
  • Serve as point of contact for key customers.
  • Review documentation for each project and ensure accuracy of information.
  • Maintain a daily log of all projects being sent out by date, address and Project ID.
  • Act as an additional resource for answering incoming calls during high call level times
  • Support any updates or documentation for the Funding Department. 
  • Record documents with the Clerk of Courts
  • Be active in assisting property owners, contractors, and sales team when called upon to do so

Qualifications

  • High school diploma or equivalent
  • A minimum of 2 years of experience in the mortgage, banking, lending and/or consumer finance industries
  • Must have at least one year of supervisory experience
  • Knowledge of documentation requirements, policies, practices, and procedures.
  • Proficient in Microsoft Word, Excel and PDF Conversions and possess generally good computing skills.
  • Ability to independently manage daily tasks and short-term projects, including prioritizing competing demands.
  • Highly organized and attention to detail is a must with strong analytical skills. 
  • Strong verbal and written communication skills
